2023 Trail & Enduro AGM - Committee Nominations

PRESIDENT
The President shall;

> Be on the Board of Directors
> Preside at all meetings and social functions and generally carry out the duties as the chairperson and give rulings when required.
> ​​​​​​​Have the same right to speak on any question under discussion as any other member.
> Have a deliberative vote and a casting vote.
> Have full power to expel a member from such meeting should they deem it necessary and should be only subject to the decisions of the executive duly convened.
> Enforce this constitution and rules and see that the duties of other office bearers are properly performed.
> The president, in conjunction with the secretary or treasurer is authorised to transact the banking procedure of the club. 

​​​​​​​The terms of office of President is for a period of no more than three (3) years at which time re-election is the prerogative of the club at an annual general meeting.

VICE PRESIDENT
One vice president shall;
> Be on the Board of Directors
> Act in the capacity of president in the president’s absence.

SECRETARY
The secretary shall;
> Be on the Board of Directors
> Act as executive officer of the club and conduct the affairs of the club under the direction of the executive.
> Have the power to convene all meetings, maintain accurate minutes of all meetings
> Conduct all correspondence in and out under direction of the board of directors and on behalf of the club.
> Keep a list of all office bearers and their date of election.
> Be an exofficio member on all committees and subcommittees.
> In conjunction with the president or treasurer have the power to act for the club in banking transactions.

TREASURER
The treasurer shall;
> Be on the Board of Directors
> Receive members fees and any other monies due to the club.
> Issue official receipts for same, and pay all monies into the bank in the club’s name.
> Keep a record of trust accounts and a current account for normal business.
> Produce a statement of receipts and expenditure to every general meeting.
> Present a statement of receipts and payments, together with a balance sheet, duly audited by the club’s auditor at the annual general meeting.
> Keep a register of all financial members together with the members addresses.

OFFICIAL SCORER
The official scorer shall;
> Be on the Board of Directors
> Be responsible to the competitions committee for the maintenance of an accurate progressive points score for club championship series.
> Work in liaison with the secretary and membership officer to ensure eligibility of all persons competing.

GENERAL COMMITTEE
Members of the competition committee shall;
> Consist of no less than four (4) members
> Be responsible for the arrangement of all sporting events as decided upon by the members of the club
> Work in conjunction with the board of directors. They have the power to co-opt any member for assistance that may be required.
> Have the power to appoint subcommittees.
> Attend monthly committee meetings
> Be assigned individual roles within the competition committee that they will fulfil to the best of their ability. These roles consist of, but are not limited to;
▪ Trophy Officer
▪ Medical Director
▪ Health / Toilets Officer
▪ Sponsorship Officer
▪ Merch Officer
▪ Thank Yous / Rewards per Event Officer
▪ DPAW Liaison

PROPERTY OFFICER
The property officer shall;
> Keep an accurate record of all club's property together with their current location and provide such record to the club's secretary
> Keep the club's property stocked up at all times eg; bunting, race numbers etc
> Keep the club's truck and other vehicles up to date with their service and repairs
> Keep the club's truck and container in a clean and neat state at all times

SOCIAL SECRETARY
The social secretary shall;
> Be responsible for arranging and conducting all social events as may be decided by the club, eg; Kickstart Night and End of Year Presentation Night
> Report to the board of directors on all relevant plans, developments and results.
> Have the power to co-opt any member for assistance that may be required.

MEMBERSHIP OFFICER
The membership officer shall;
> Issue the membership cards to each member in a timely manner.
> Deal and respond to all membership enquiries.
> Report the membership data to the board of directors each month.

PUBLICITY OFFICERS (DIRTY NEWS EDITOR, WEBMASTER AND SOCIAL MEDIA)
Up to three (3) publicity officers may be elected by the club. They shall;
> Conduct the publicity of the club.
> Maintain and keep the club's website up to date at all times.
> Maintain and keep the club's social media accounts and groups up to date at all times.
> Arrange and actively promote the club's upcoming events and social functions via social media outlets and electronic newsletters.
> Send out electronic newsletters to the club's subscribed members.
> Respond to any enquiries received via the website and/or the club's social media accounts.
